How do I fill in a timesheet?

  1. Each day, write the time you start, the time you leave for lunch and come back, and the time you finish.
  2. Total the day: the time before lunch plus the time after it. A short break of up to about 20 minutes stays in: under federal rules it is paid work time.
  3. Total the week, and write any hours over 40 as overtime.
  4. Sign it, and have your supervisor sign it, before it goes to payroll.

A worked example, by hand

Monday on the sheet: time in 8:00 AM, lunch out 12:00 PM, lunch in 12:30 PM, time out 4:45 PM.

  1. Before lunch: 8:00 AM to 12:00 PM is 4:00.
  2. After lunch: 12:30 PM to 4:45 PM is 4:15.
  3. The day: 4:00 + 4:15 = 8:15, or 8.25 hours (15 minutes is 0.25).
  4. The week: five days like it make 41:15 (41.25 hours): 40 regular hours and 1.25 overtime.

To skip the arithmetic, type the same times into the time card calculator: it totals the week, applies your state’s overtime rules and shows the pay.

Which timesheet should I print?

  • Weekly: one week a sheet, for weekly pay or for a clean weekly record.
  • Biweekly: two weeks on one sheet, each with its own total, for pay every two weeks. Overtime is counted for each week on its own.
  • Monthly: five weeks on one sheet, each with its own total, so overtime can still be counted week by week.
  • Without lunch columns: for jobs with no fixed lunch, or where the lunch is paid.
  • A small team: one row for each person, with each day’s hours and the week’s total and overtime, ready for a supervisor to sign.

Employers must keep a record of the hours each employee works each workday and in total each workweek (29 CFR 516.2(a)(7)). A paper sheet works, as long as it is accurate and kept safe. For a team, a time clock app does the adding for you.

How do I print it at the right size?

Pick Letter or A4 before you press Print, and keep the scale at 100% (or “Default”) in the print window. The menu, the buttons and any ads are left off the printout, so only the sheet prints. Team sheets print sideways (landscape) to fit seven days on one line.

For a spreadsheet instead of paper, download the CSV: it has the same columns and opens in Excel, Google Sheets or Numbers.

What else can I work out?

Questions about timesheet templates

Is this timesheet template free?

Yes. Print as many as you like or download the CSV; there is no sign-up, email or watermark.

How do I fill in a timesheet?

Write the time you start, the time you leave for lunch and come back, and the time you finish each day. Work out each day’s hours (out time minus in time, less the unpaid lunch), then add up the week. Hours over 40 in the week are overtime.

Which should I use: weekly, biweekly or monthly?

Match how you are paid. Weekly suits weekly pay, biweekly suits pay every two weeks (26 a year), and monthly gives one sheet a month with each workweek totalled for overtime.

Will it print on Letter or A4 paper?

Yes. Choose the paper size before printing; the sheet is sized to fit the page, and the menu, buttons and ads are left off the printout.

Can I use it for my whole team?

Choose “A small team” for one row per person (up to 10) with each day’s hours, a total and overtime. Hand it to a supervisor to sign.

Can it add up the hours for me?

The printed sheet is for writing on. To add the hours, use the timesheet calculator (hours per day) or the time card calculator (in and out times), which also work out overtime and pay.
